Fax a Document from Lotus Notes
You can create a mail message and send it to both mail recipients and fax recipients.
1. To create a mail message, do one of the following:
- If you are using your Mail database, click on the New Memo button or choose Create - Memo to display the Memo form.
- If you are using a different database, choose Create - Mail - Memo to display the Memo form.
- Click on the mail icon
in the status bar, and then click on Create Memo from the menu that appears.
2. Enter the address information in the To field using the Recipient Name@Fax Number@ExtraFax syntax. For multiple recipients, separate the names with commas. See "Addressing Faxes" for more information.
3. (Optional) Enter the address information in the cc, bcc fields to identify who will receive a copy or a blind copy of the fax message.
4. Type a subject in the Subject field.
5. Type the body of the message.
6. (Optional) Click "Fax Options", and specify any fax related options you prefer. See "Adding Fax Delivery Options" for more information.
7. (Optional) Click "Delivery Options", and specify any e-mail delivery options that you prefer.
The Delivery Priority determines both:
- the electronic delivery of the fax requests to the ExtraFax server and the actual transmission of the fax documents by the ExtraFax server to the defined recipients.
In the "Priority" drop-down list, select High, Normal, or Low:
- High
1. Lotus Notes routes the fax request immediately to the ExtraFax server.
2. The fax message will be put at the top of the Waiting Queue (if there is more than one High priority fax message waiting, they will then be processed on a first-come-first-serve basis).
- Normal
1. Lotus Notes routes the fax request to the ExtraFax server the next time the server is scheduled to send mail. This is the default setting.
2. ExtraFax will fax the message as soon as there are no more high priority requests in the queue.
- Low
1. Lotus Notes waits until off-peak hours to route the fax request. This is between midnight and 6:00 A.M., unless the Notes administrator defines a different time in the Domino server configuration.
2. ExtraFax will fax the message as soon as there are no more High and Normal priority requests in the queue.
The Delivery Report field enables you to request a delivery report from ExtraFax regarding the fax message that you've sent.
In the "Report" drop-down list, select one of the following:
- Only on failure
Lotus Notes sends you a delivery report only if it could not deliver your fax request to the ExtraFax server or ExtraFax could not deliver the fax to the recipient's fax machine.
- Confirm delivery
Lotus Notes always sends you a delivery report, telling you whether or not it delivered your fax request to ExtraFax server and ExtraFax server will send you a confirmation of delivery message if fax is successfully sent to the recipients' fax machine.
- Trace entire path
Notes sends you a report from each server that routes your message. The final report indicates whether Notes delivered the fax request successfully to ExtraFax server.
- None
Neither Lotus Notes nor ExtraFax server send a delivery report (even if there is a failure).
8. Send or save the message.
