Adding Capability of Generating Searchable PDF

ExtraFax stores incoming faxes in TIFF or PDF format. Starting from ExtraFax 6.5, there is one more option: Searchable PDF. After integrated with Adobe Acrobat Capture (tm) technology, ExtraFax streamlines document management workflow: Incoming fax is not just an image, accurate OCR, advance page and content recognition can turn faxes into high-quality electronic documents ready for publicaton via the Web, intramets, CD-ROM and more. Moreover, fax content can be retrieved by Lotus Notes search engine.

Note that you need to purchase Adobe Acrobat Capture 3.0 separately from Adobe Systems Incorporated. ExtraFax does not include it in its release package.

ExtraFax server can integrate with both Adobe Acrobat Capture 3.0 Personal Edition or Adobe Acrobat Capture 3.0 Cluster Edition. You can choose either one of them to install in your ExtraFax server. Moreover, you can install Capture 3.0 before or after the installation of ExtraFax Server.

The installation of Capture 3.0 is easy. Please follow the instructions of installation executable of Capture 3.0.

After Capture 3.0 has been installed, you need to download the update from following URL and apply it to your ExtraFax server.

How to test my installation?

You need to configure the fax port to generate Searchable PDF for incoming faxes as following:

1. Open ExtraFax database (most likely it is extrafax.nsf) in Lotus Notes client.

2. Under Server Administration->Port Configuration, open the port documents.

3. Under Fax Jobs Specific Settings, make sure that Searchable PDF is selected in Incoming Fax File Format.

4. Send a fax to your ExtraFax server. (To know how to send a fax, please refer to Fax a Document from Lotus Notes in user guide.)

5. After ExtraFax server has received your fax, you can see it under Imcoming Faxes->Received Faxes.

6. Open the PDF attachment of your fax, you can find that the PDF is no longer an image only, you can select and search the text in the PDF.


Adobe Capture 3.0 is available in English only, but it can recognize documents in a total of 16 languages. Please refer to http://www.adobe.com/products/acrcapture/languages.html for more information.

By default, after the installation of ExtraFax server and Adobe Acrobat Capture 3.0, it can perform recognition for English text only. If your fax may contain other languages, please replace the Capture.cfg file under the domino directory in your ExtraFax server machine as following:

1. Close Capture Workbench (that is Workbench.exe) If it is running.

2. Under <Acrobat Capture 3.0 installation directory>\Agent (For example, C:\Program Files\Adobe\Acrobat Capture 3.0\Agent), run capture.exe.

3. A dialog Capture Image Properties is shown:

- Select (or multiple-select) recognition language(s).

- Click OK button.

- Click Cancel button if a message box is shown.

4. A Capture.cfg is generated under directory <Acrobat Capture 3.0 installation directory>\Agent.

5. Rename the original Capture.cfg in domino directory to Capture.cfg.bak as backup.

6. Copy the newly generated Capture.cfg from <Acrobat Capture 3.0 installation directory>\Agent to domino directory.

7. Done.
